Privacy policy
Effective
This policy covers SommoScribe for macOS, iPhone and iPad and the website sommoscribe.sommomi.cc. The developer and contact responsible for data received through this website and support is Michele Tagliabue, reachable at mikitg.michele@gmail.com.
In short: meetings are processed on your device, without sending audio or text to the developer or a remote AI service. iCloud is optional. Model downloads, website visits and support emails involve the communications described below.
1. Data stored in the app
SommoScribe saves audio recordings, transcripts, titles, dates, languages, durations, categories, tags, descriptions, summaries, decisions and action items in your local archive, where available. It also retains preferences and technical information needed to operate. No SommoScribe account is required.
Transcript enhancement can also retain the original live transcript and speaker-separation information: labels, audio source, speech duration and numerical voice-derived vectors (embeddings). These vectors remain local and are not included in iCloud sync. They separate voices within a meeting, rather than identifying people by name or maintaining an identity registry across meetings. Labels within transcripts can sync.
2. On-device processing and model downloads
Live transcription, enhancement with WhisperKit and SpeakerKit, summaries and tag suggestions with Apple Intelligence, and semantic search with Core ML run on your device. The fallback speech recogniser, where available, requires a local model: the app does not enable a server-recognition fallback. SommoScribe does not integrate advertising, tracking or analytics services and does not send meeting content to train remote models.
Initial preparation, if you accept it, manual downloads in Resource Management, or using a feature with missing resources can download models and tokenizers from Apple and Hugging Face, including Argmax repositories for WhisperKit and SpeakerKit, the Whisper tokenizer and the E5 search model. Whisper needs about 630 MB, plus speaker-separation models and other resources; semantic search needs about 252 MB.
Download requests disclose ordinary connection data to the provider and its infrastructure, such as your IP address, the requested file and HTTP metadata, but contain no audio, meeting text or search queries. After preparation, search runs locally. Its derived index is local, is not synced through iCloud and is marked for backup exclusion, as are app-managed models. Moving a meeting to Trash removes its index; restoring it allows rebuilding.
Providers’ services are subject to their policies: Apple privacy and Hugging Face privacy. Their infrastructure may process connection data in countries other than yours under their terms.
3. Optional iCloud sync
Sync is initially off. If you enable it, the app uses the private CloudKit database of your Apple account to sync text, metadata and a compressed AAC/M4A audio copy, including restorable meetings in Trash. Original audio tracks stay on the recording device. The developer does not receive content through this sync path.
Turning off iCloud in the app stops sync but does not delete existing cloud or local copies. The service, protection and possible location of data are subject to Apple’s settings and terms.
4. Retention, Trash and deletion
Meetings remain in your archive until you delete them. Delete moves them to the app’s Trash, where they can be restored. Empty Trash deletes the meetings’ local folders. If iCloud is enabled and working, the app propagates deletion of synced content and audio; other devices receive it when they sync, not necessarily immediately.
If you delete while sync is off, cloud data and some local sync snapshots may remain until the next reconciliation after you re-enable iCloud. Minimal deletion markers (meeting identifier, status and, locally, deletion date) can remain without automatic expiry to prevent offline devices from restoring deleted data.
Local conflict-recovery copies and incompatible sync data are retained separately, without automatic expiry, and are not removed by Empty Trash. Contact the developer for help removing them, without attaching meeting content.
Device or computer backups, exports, copied clipboard text and shared files are separate copies: deletion in the app does not erase them. Uninstalling the app does not delete iCloud data; on Mac, it does not necessarily remove Application Support files. For complete removal, also manage these copies and their backups using the relevant system and service settings.
5. Permissions, recording and Mac suggestions
On iPhone and iPad, microphone access records in-person meetings, including with the screen locked where the system allows it. The app does not capture phone calls or other apps’ audio on these devices. A local Live Activity may show recording status and duration on the lock screen or Dynamic Island, without meeting text or an app push server.
On Mac, the app can record microphone and system/app audio, including voices in an online meeting, as separate tracks. macOS Microphone and Screen & System Audio Recording permissions are required: the recording path saves audio, not video or screen images. Speech recognition may require its permission. You can revoke permissions in system Privacy & Security settings; features that need them will become unavailable.
The optional Mac meeting-recording suggestion monitors local Core Audio process metadata, such as microphone use by Slack or Teams. It does not read messages, calendars or provider accounts, sample audio to detect meetings or automatically start recording. It can remain active with the window closed while the app is running; you can disable it in the app’s controls. Recording always requires you to start or confirm it.
Informing participants, obtaining required consent and complying with applicable law is the responsibility of the person recording. Transcripts and AI results can contain errors: check the original sources.
6. Sharing and Apple services
When you use Share, export files or copy text to the clipboard, you choose the destination. Processing then also depends on the selected app or service; share only content you are entitled to share. Any App Store purchases are handled by Apple: SommoScribe does not receive your full card details. Apple’s policies and settings also govern any diagnostic data shared through its services.
7. This website and support emails
The website is static: it uses no cookies, analytics, remote fonts, collection forms or tracking scripts. To serve pages, the server receives and records technical access-log data such as IP address, date and time, requested URL, HTTP/browser information and request result. These data support website operation, security and troubleshooting, not advertising profiles. Logs follow the server’s configured rotation and are not intentionally retained beyond technical or security needs or applicable obligations.
The mailto: link opens your email program and sends nothing automatically. If you email mikitg.michele@gmail.com, Michele Tagliabue receives your address, message and any attachments to answer your request. The mailbox uses Gmail: Google also processes the message under its privacy policy, which describes processing and international transfers. Do not send recordings, transcripts, passwords or other confidential data.
Messages are used for support and request handling, not marketing, and retained as long as needed for these purposes or applicable obligations. You can request deletion at the same email address.
8. Rights and contact
For data handled by the developer through the website and support, the purposes are serving and protecting pages and responding to your requests. Where the GDPR applies, processing is based on handling the service/request and the legitimate interest in operation and security, or legal obligations where relevant; no data is requested for advertising. Local meeting content remains under your control and is not accessible to the developer except for what you choose to send.
Subject to applicable law, you may request access, rectification, deletion, restriction or portability, or object to processing of data received by the developer. You may also complain to the competent supervisory authority, including Italy’s Garante per la protezione dei dati personali. 9. Children and updates
SommoScribe is a productivity app and is not designed specifically for children. The app does not request children’s data for the developer. This policy will be updated if features or data processing change; the date above identifies the current version.
